1002 - Bed Management Desktop – Expanse Tips & Tricks

Bed Management Desktop has become a staple in our environment at Catawba Valley Medical Center. It provides real time bed availability and requests while eliminating multiple phone calls and paper versions of bed availability. Tips and tricks of how we use Bed Management Desktop and Expanse enhancements will be demonstrated. Expanse provides items that are more user friendly and allows patient list format for more customization. There are opportunities for improvement but feel this module assists with patient flow from ED or OR to inpatient through discharge.
Angela Clark has worked with MEDITECH as an Informaticist for over 10 years. Prior nursing experience, primarily in the Emergency Department, led to being the EDM module lead and since has expanded to support OM and Bed Management Desktop.

Dr. Linda Williams has been a member of the Kingman community since 2012. She received her Bachelor of Science and Doctor of Pharmacy degree from the University of Michigan-Ann Arbor. Afterwards, she completed an Ambulatory Care Pharmacy Residency with the Veterans Affairs Health Care System located in Lincoln, NE. Her next step led to the southwest, where the opportunity to create and expand ambulatory care pharmacy services at Kingman Regional Medical Center was found. She was instrumental in the development of the KRMC Disease Management Clinic (DMC), utilizing a pharmacist collaborative practice model to bridge care between providers and patients for the management of diabetes, dyslipidemia, hypertension, anticoagulation, and hepatitis C.

1005 - Keeping Score: Using Surveillance to Implement Scoring Systems

Scoring systems have become an important tool when trying to predict changes in a patient’s condition. Recently Valley used surveillance to implement an automated version of the John’s Hopkins fall risk assessment tool (JHFRAT), eliminating the manual entry by the staff. This session will outline the steps needed to build a scoring system using the surveillance module in MEDITECH. Using both the JHFRAT and Modified Early Warning System (MEWS) scoring systems to show the capabilities or surveillance and what will be needed to implement these systems.
Chris Neumann has worked as a System Specialist with the Valley Health System since 2013. He was the project lead for Surveillance, Bed Management, EVS, Quality and Risk Management during Valley’s 2015 implementation of 6x.

We’ll see real dashboard and report examples from facilities using the MEDITECH EHR to see how their IT departments are already using Power BI to share and analyze data.
Ian Proffer is Acmeware’s Director of Communication and Training. Before joining Acmeware in 2007, he spent seven years in healthcare IT at Jefferson Healthcare in Port Townsend, WA (a MEDITECH C/S site) and Harborview Medical Center in Seattle. Ian has worked for the last 20 years as a consultant, report writer, database analyst, administrator, and architect, including four years at Microsoft Corp. His practical work experience in healthcare includes database analysis and administration, report and application authoring and development, and user education and training.

Kelli Griffith is the Assistant Director of Pharmacy for Peterson Regional Medical Center, a 124-bed hospital in Kerrville, Texas. Dr. Griffith has been in practice for 16 years, and has experience in the ICU setting, administration, and informatics. She serves on the PRMC Pharmacy and Therapeutics Committee, Antibiotic Stewardship Committee, and Medication Management Committee. She received her Doctor of Pharmacy degree from Texas Tech University Health Sciences Center in 2005.

1010 - Recovering from a (mini) Disaster

In December 2021, Peterson Health suffered a cluster failure in the data center that impacted over 150 servers and caused a significant loss of integration during the recovery period. The team identified the impacted systems and determined a MEDITECH downtime was needed in order to safeguard processes and reduce the risk to patients and staff. This presentation will review the process and workflow that was necessary to recover from this significant event.
Stephanie Alford has been employed with Peterson Health since 1985, implemented $T RAD and scheduling, then moved to IT to manage the Y2K project. From that point, she assisted in the implementation of many different MEDITECH modules and lead the team for the transition from Magic to 6.x in 2010, and was the hospital's project manager for the migration to Expanse in 2019.
Carlos Cuellar has been employed with Peterson Health since 1998, implemented Magic ITS and became PACS Administrator and ITS Module Coordinator in 2004. Carlos assisted with major MEDITECH projects including transition from Magic to 6.x in 2010 and Expanse migration in 2019. Carlos also served as Project Manager for hospital third-party integrations with voice recognition solution and secure messaging solution. Carlos officially joined the IT department in 2019 as an IT Interface Analyst while continuing PACS Administrator responsibilities for the facility.

1013 - Capturing Team Conference within the EMR

Brooks Rehabilitation Hospital struggled with compliance of a signed team conference report within MEDITECH due to an external reporting workflow. Come learn how we turned an external manual process into an electronic internal process within MEDITECH. This new workflow allowed for the internal capture of data and the ability to e-sign resulting in a concise report within MEDITECH with an ultimate goal of increased compliance. This presentation will outline how we utilized formatted data, web templates, scribe functionality and report designer reports to build a more fluid workflow.
Carroll Castro has worked at Brooks Rehabilitation since 2012 in both the clinical and technology arenas. She first joined the team as a staff nurse on the orthopedic unit. Carroll’s experience elevated her to a charge nurse role on the both the Orthopedic and Brain Injury units. In 2017, Brooks began their MEDITECH 6.15 implementation and Carroll’s clinical and leadership knowledge led her to being chosen as the nursing lead for the implementation. Her project experience prepared her post-live to transition into the Nursing Informaticist position. In 2019, Brooks transitioned to MEDITECH Expanse and Carroll was instrumental in the adoption of physicians, nurses, and therapist. Carroll has obtained both her Bachelor's and Master's degrees in Nursing along with certifications in Rehabilitative Nursing and Wound Care. Carroll continues to be responsible for the build, design and optimization for all clinical areas and is working to integrate MEDITECH with various external clinical operations.

Valley has been a MEDITECH customer since 1994, moving from Magic and Magic-C/S to 6.1 and now Expanse.
The Valley Health System is a $700 million health system in northern New Jersey that includes The Valley Hospital, a 451-bed facility located in Ridgewood NJ, Valley Home Care and Hospice located in Paramus, NJ and The Valley Medical Group, a 300+ member physician organization with locations throughout northern New Jersey and southern New York State.
As Vice President and CIO, Mr. Eric Carey is responsible for the Information Systems and Telecommunications services for the Valley Health System. This includes all services from infrastructure through to end-user customer service, via a 24x7 Service Desk. The department supports all buildings (over 60 locations), including all of the physician practice locations of the Valley Medical Group.
Mr. Carey began at Valley in 1994 as the Manager of Application Development. He was later promoted to Director of Information Systems, and ultimately became VP/CIO in 2010. He has been a leader of the development the Information Systems department from a small group to a full-service department of about 170 staff and leaders. Mr. Carey has been an active participant in many company-wide initiatives in order to make sure that the Information Systems and Telecommunications departments maintain high quality relationships with all of the customers throughout the Valley Health System.

The demonstration will show how to set-up user rights according to user's job position. Included in the presentation will be the setting up of multiple hospital sites, selecting PI and eCQMs. In addition, users will be able to compile reports to be able to view the measures on the dashboard. Finally, downloading the QRDA 1 file for attesting will be covered as well.
Scott Markwith is a Project Manager at Halifax Health. He has been in the technology field for 30 years with the last 17 years focused on healthcare. He has experience with several Electronic Health Record applications, medical devices, and pharmacy applications. Scott earned a Bachelor's of Science in Technical Management and Master’s of Science in Management both from Embry-Riddle Aeronautical University. 1017 - Promoting Interoperability Electronic Case Reporting (eCR)

Electronic Case Reporting (eCR) is a new requirement from CMS for 2022 Promoting Interoperability Objective Measure 4: Public Health and Clinical Data Registry Reporting. Reporting diseases and conditions of interest to public healthcare is required by law. Traditionally, health care providers communicated these cases with public health agencies via fax, phone calls or email. This creates large burden on providers and public health care agencies. Electronic Case Reporting automates this process in a real-time exchange between Electronic Health Records (EHRs) and the public health agencies. Attendees will gain an understanding of how to configure MEDITECH Expanse to meet this measure. The process of generating a case report will be discussed from patient’s diagnoses of a reportable condition, entering information in the MEDITECH and it automatically being received from a public health care agency.
Judy Steiner is the Director of Healthcare Information Systems for Halifax Health located in Daytona Beach, Florida. Judy has been a healthcare professional for over 43 years focusing on Information Technology healthcare systems, operations, project management, leadership, and supporting initiatives that improve the health and well-being of patients, leveraging operational cost effectiveness and preparing Halifax Health to meet the challenges of the coming decade in a constantly changing, competitive healthcare market. Judy currently provides leadership for several teams within the enterprise consisting of Application and Oncology Services, MEDITECH Functional Team Leaders (MFTL’s), Medical Informatics, Hospice, and our Home Care Team. Judy is heavily focused on planning and executing enterprise technology solutions to support clinical and business operations, specifically on leveraging information assets and resources for increased enterprise value.
Judy obtained her Masters in Health Services Administration from the University of Central Florida and her Bachelor of Science from Nova Southeastern University. Judy holds certifications in Information Technology, Project Management from George Washington University School of Business and graduated from Halifax Health “Leadership Academy” in conjunction with Harvard University.

He now lives in Nevada and works in Northern Arizona at Kingman Regional Medical Center (KRMC) as well as leads many health IT initiatives for that organization.

We will review the display buttons and the documentation updates, and show the Web Tracker layout which includes intuitive alerts and innovative surveillance profiles that we utilize every day to keep our patients safe. Lastly, lessons learned, and valuable tips and tricks will be discussed.
After receiving her Bachelor's degree in Clinical Laboratory Science in 1995 from the Medical College of Virginia, Kristen Springer began her career at Calvert Memorial Hospital as a Medical Technologist in the Laboratory. After 13 years, during which she assisted in the Microbiology build of MEDITECH Magic, Kristen transitioned to the Information Technology Department. In October of 2016, the facility went LIVE with MEDITECH 6.15. Through this transition, she advanced in MEDITECH rule building and Report Designer. She was then recruited to take a role in the fast-paced Emergency Department. In May of 2021, the facility implemented the Web Version of Expanse for the Physicians. While working directly with physicians, the facility created a platform with alerts that provide an optimal environment for the best patient care we can provide. Currently, Kristen is also enrolled in a Masters of Leadership program at Walden University. In her presentation, she would like to share her work and help empower you to build your own model in the Web Version of Expanse in your facilities as she takes you through their 2021 implementation!

1022 - MEDITECH Virtual On Demand Care – Seeking the Best Telehealth Fit

Wooster Community Hospital was an early adopter of telehealth. The system gained a great deal of traction through the pandemic, but has waned in utilization. At WCH, the IT culture is, “if it is done in MEDITECH, that is where we do it" and MEDITECH was a great partner in telehealth during the pandemic. As use waned, and MEDITECH functionality was proven, the decision was made to consolidate systems and workflows and continue in our community-based, independent health system ways.
Trevor Clere, BS, MBA, Director of Information Systems at Wooster Community Hospital, began his career in health care as a tray passer, then dish room operator. Gone are the days of order sets with easy-to-follow bundles of information presented in nifty diagrams, tables, algorithms, and bulleted instructions. Each instruction and order need to equate to single orders that often go in different areas of the EMR.
Physician workflows often direct the design of CPOE and order sets, but it is also imperative that the output of the orders is clear and safe for the user that will be executing them. This session will delve into strategies to make sure order set outputs paid attention to just as much of order sets in the design process, which is often an after-thought. It will also present approaches that project teams can leverage when introducing CPOE in their 6.x platform or doing a complete Expanse migration or implementation. The strategies focus on how to standardize the order outputs to ensure clarity and ease of use, both for users entering and receiving the orders, while ensuring safe ordering practices. 1061 - Using Price Transparency in the Real-Time Benefit Check Workflow to Improve Adherence for CHF Patients

Cost is a major determining factor for patients deciding whether to pick up prescriptions from the pharmacy. When medications are too expensive, patients tend to abandon them regardless of how important they are to their health. In fact, studies have shown that patients are five times more likely to abandon a prescription that costs $50 versus one that costs $10. The impact of non-adherence is dire in terms of patient outcomes, with 125,000 avoidable deaths attributed to non-adherence every year.
To test the impact of price transparency and text reminders on patient’s first-fill rates and adherence to their medication regimens, Magnolia Regional Health Care (MRHC) analyzed provider and patient behavior, and gathered medication history data. Patient behavior data on text reminders was examined before MRHC installed a price transparency solution into the Real-Time Benefit Check (RTBC) workflow in their MEDITECH™ electronic health record (EHR), which made more prescription benefit information and therapeutic alternatives available during the patient encounter. Next, they gathered complete patient medication history so they could track whether patients in the study had filled their prescriptions.
From July 2020 to September 2021, Magnolia Regional studied medication adherence and prescription abandonment rates for 417 patients with Congestive Heart Failure (CHF). When medications were broken down by drug class, first-fill prescription abandonment for more expensive antithrombotics was higher in readmitted patients (50%) than in non-readmitted patients (35%). Results found little difference in first-fill prescription abandonment for less expensive anticoagulants (31% in readmitted patients versus 32% in non-readmitted patients). Readmitted patients were 10% less adherent to antithrombotic agents, however, and 17% less adherent to anticoagulants than patients who were not readmitted.
By measuring prescription abandonment and adherence for these medications—which are vital to keeping patients out of the hospital—the team validated its assumption: Having price transparency at the point of prescribing and access to prescription fill data can equip hospitalists and care navigator staff with crucial information that could improve care for CHF patients.

Sherri Pierce is Acmeware’s Quality Reporting Manager and a US Army veteran with 27 years of experience as a Registered Nurse working primarily in leadership positions within hospital settings. Regardless of her position or title, her focus has always been on improving patient care. Her commitment to patient safety has followed her through her efforts and involvement with infection control initiatives, disaster planning and emergency preparedness, community needs assessments, clinical process improvements and staff development. Serving as the Chief Nursing Officer for nearly 12 years at a Critical Access Hospital in south Texas, she has first-hand experience with hospital operations, finance, and regulations. As the lead clinician through two hospital-wide EHR conversions, her clinical knowledge in create improvements with data collection, analysis and reporting and is what led to her current position at Acmeware.
Alexis O’Grady is the Quality Reporting Specialist at Acmeware. Before joining Acmeware in 2016, she worked at Partners HealthCare in its Quality, Safety and Value Department on the Policy and Incentive team. She earned her Bachelor of Science in Biology and Community Health from Tufts University and her Master of Public Health with a concentration in Health Services Management and Policy from Tufts University School of Medicine. Alexis has several years of experience in the healthcare quality space from reviewing regulations to educate clients and inform quality report development, to optimizing measure selection for reporting, and managing electronic quality reporting submissions.

1070 - Optimizing Oncology - Treatment Plans / Diagnoses / Indications

The Valley Hospital has been using the Oncology module since March 2020. One of the major dissatisfiers for the Providers was the duplication of treatment plans listed by indications. Plans with the correct medication therapy could be selected, but for an incorrect oncology diagnosis. A plan was developed to revise the Diagnosis and Indication dictionaries, providing a more precise and concise lookup that was meaningful to the providers. Once implemented, no instances of incorrect plans for the diagnosis have been noted.

Rachael Gibb, RN is the Nursing Informaticist at Frances Mahon Deaconess Hospital in Glasgow, Montana. She has 13 years of experience practicing as a nurse in both acute and ambulatory settings. She transitioned to informatics over five years ago and during that time was instrumental in the successful implementation of MEDITECH Expanse. Rachael is responsible for the build, design, and optimization of all acute and outpatient settings. She supports the PCS, EDM, Web Acute, Web ED, and CMG modules. Rachael is also the lead for onboarding new providers, nurses, and CNAs.
Marcie Sannon is the Director of Informatics at Frances Mahon Deaconess Hospital. She has over ten years of experience directing, implementing, and supporting electronic health record systems. Marcie has spent the majority of this time supporting MEDITECH platforms, including Magic and Expanse. The ability to see the complete picture of a patient’s care from inpatient to all points of outpatient care is changing the way ambulatory practitioners operate. This allows a way to create a list with an unlimited supply of data all in one place. This provides a global level that allows for the ability to drill down to the individual patient details.
You will get an overview of the building process for Registries, Automated Worklists and Manual Worklists. The functionality has comprehensive abilities, but it is still a work in progress. The limitations are being worked on actively. Learn how the use of third-party software to bring in real time data from other EMR’s and risk scoring by Hopkins ACG and HCC help care management by practitioners.

MEDITCH’s Virtual Care solutions fill the need for telehealth visits by offering a robust suite of tools that can be used across the continuum of care to extend and reinforce the relationship between patients, their providers, and their healthcare organization.
Virtual On Demand Care offers the ability to provide 24/7 remote urgent care to your community. Patients can easily register and check in for visits directly from the Patient Portal. The functionality also enables healthcare organizations to reach new consumers searching for medical care by onboarding patients unknown to the organization and enrolling them in the Patient Portal.
Scheduled Virtual Visits are available for both Ambulatory and Acute settings. Patients can directly schedule, pay for, and conduct visits from the Patient Portal/MHealth App. This functionality is integrated into existing ambulatory workflows, allowing providers to conduct scheduled virtual visits while viewing and/or documenting within the patient’s chart. A new Virtual Waiting Room was developed for the Acute Scheduled Virtual Visits, allowing for hospital-based specialists to easily view and launch into the respective visits.
Virtual Rounding, which is an extension of the Virtual Waiting Room, is a clinician-to-clinician communication tool that can also be leveraged for physician rounding. This allows for physicians to round remotely without the need for actual virtual visit appointments.

The Arch Collaborative uses a standard survey and benchmarking to help healthcare provider organizations better understand how their EHR satisfaction and experience compares with others like them and identify and apply evidence based best practices that other healthcare providers have implemented to improve their EHR experience.
We will share evidence-based practices around EHR training, Personalization and Governance and provide specific examples of how a few MEDITECH organizations (and MUSE members), are using the Arch Collaborative to improve their EHR satisfaction.
We will also discuss recent findings from the Arch Collaborative data set highlighting clinician burnout and turnover. He will share how healthcare provider organizations are using Arch Collaborative data to identify clinicians needing specific help with their EHR experience, and the impact this can have in helping to improve clinician burnout and turnover.

In this educational session, we will explore how disparate data available in your MEDITECH EHR system can be brought together and analyzed to provide insight into the scheduling and utilization efficiency of operating room resources. Your EHR collects hundreds of data points associated with scheduling, timing, activity, and outcomes of processes and procedures related to OR utilization. The challenge with deriving actionable information from this data is presenting and visualizing it in a manner that can quicky and easily identify what is working as anticipated, and what processes are breaking.
We will discuss how to identify where this data can be derived from within your EHR and how it can be brought together into datasets that allow for detailed analysis. We will review strategies for presenting this data and demonstrate the use of Microsoft’s ubiquitous Power BI interactive data visualization application to present thought-provoking OR metrics. Metrics reviewed will include surgeon and provider group efficiency comparisons, block utilization, identifying causes of late or overlapping scheduling, trends in OR utilization by specialty, and much more. Glen R. D’Abate, President, Acmeware Inc., has nearly 40 years’ experience working in the healthcare IT field including two years at St. Frances Hospital in CT, 13 years at MEDITECH where he led development of the DR application, and over 24 years as president and CEO of Acmeware. Under Glen’s guidance, Acmeware has become the preeminent leader in providing custom report writing solutions in the MEDITECH EHR space and he is recognized innovative leader in report design and development, custom application development, and data interfacing solutions. Glen has an undergraduate degree in Engineering and Economics from Trinity College and graduate degrees in Biomedical Engineering and in Finance from Rensselaer Polytechnic Institute and Boston College, respectively.
Chris Giroux is Director of Informatics, Data Management, and Integration Services for Northwestern Medical Center (NMC) in St. Albans, Vermont. She has over 22 years of healthcare IT experience is currently the co-chair of NMC’s Data Management & Decision Support Steering Committee. Chris has led the implementation of many systems at NMC, including: MEDITECH Acute in 2010; Data Repository in 2011; onboarding 19 physician practices to MEDITECH Web Ambulatory in 2019; the third site to go live with Commonwell Alliance in 2019; the beta program for Apple Health MEDITECH EMR integration in 2020; and presented at HIMSS on EMR data conversion and analytics in 2020. Chris has an undergraduate degree in Business Management and Environmental Studies from Eckerd College, St. Peterburg, FL and a master’s degree in Predictive Analytics from Northwestern University, Chicago, IL.

A mantra of time in IT leadership has been, “I hate to sacrifice productivity for bureaucracy.” Health system cybersecurity is very often a bureaucratic tax on an operation designed and intended to provide care to those who are ill and or maintain the health of a community. Cybersecurity is, however, a necessary tax; sometimes enlightening and interesting, and worthy of being a part of the entire operation. While not the most entertaining presentation, we are sure many might be surprised at the breadth of the subject. Healthcare cybersecurity should be unnecessary with the objectives we set out to achieve. We wish that were the case.
Trevor Clere, BS, MBA, Director of Information Systems at Wooster Community Hospital, began his career in health care as a tray passer, then dish room operator. He left that while in school to become a cytotechnologist, supporting himself along the way as a waiter, tending bar, and DJ’ing small local events. After spending many years behind a microscope, Trevor decided he wasn’t fit for that role and went to graduate school to attain an MBA in Finance and Hospital Administration. He slid into IT to enable and support the ancillary hospital departments. His next challenge was to support the struggling document scanning and archival processes satellite to MEDITECH Magic. He has been in a leadership position in hospital IT for almost 20 years and truly enjoys what he does.
